We are committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information when you use Board Beacon ("the Service").

By using Board Beacon, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.

1. Information We Collect

1.1 Account Information

When you register for Board Beacon, we collect:

  • Your name and email address
  • Organization name and role
  • Password (stored in encrypted form; we never see your plaintext password)

1.2 Usage Data

We automatically collect certain information when you use the Service, including:

  • Pages and features accessed within the app
  • Actions taken (e.g., creating a meeting, uploading a document, casting a vote)
  • Device type, browser type, and operating system
  • IP address and general geographic region
  • Date and time of access

This data helps us operate, maintain, and improve the Service.

1.3 Payment Information

Board Beacon uses Stripe to process all payments. When you enter payment information, it is transmitted directly to and stored by Stripe. Waldinger Labs LLC does not receive, store, or have access to your full credit card number or other sensitive payment details.

We receive limited billing information from Stripe, such as the last four digits of your card, card type, and billing status, for the purpose of managing your subscription.

Stripe's privacy practices are governed by Stripe's own Privacy Policy, available at stripe.com/privacy.

1.4 Content You Upload

Board Beacon allows you to upload and store documents, meeting minutes, resolutions, forms, and other materials. This content is stored securely and is only accessible to members of your organization within the platform.

We do not access, read, or use your uploaded content except as necessary to provide and maintain the Service (e.g., backups, technical support).

2. How We Use Your Information

We use the information we collect to:

  • Create and manage your account and organization
  • Provide, operate, and improve the Board Beacon platform
  • Process subscription payments through Stripe
  • Send transactional emails, such as account confirmations, password resets, and subscription receipts
  • Respond to support requests and troubleshoot issues
  • Monitor platform performance and diagnose technical problems
  • Comply with legal obligations

We do not sell, rent, or share your personal information with third parties for marketing purposes.

3. Analytics and Tracking

Board Beacon does not currently use third-party analytics tools (such as Google Analytics) or behavioral tracking technologies on the marketing site or within the application. If this changes in the future, this policy will be updated and users will be notified.

We do not use cookies for advertising or tracking purposes. We may use session cookies or similar technologies solely to keep you logged in and maintain your session while using the Service. However, some third-party services used to deliver the Service (such as font libraries, infrastructure providers, or embedded tools) may independently set cookies or collect limited technical data. Board Beacon does not control these third-party practices and is not responsible for them. Please review the privacy policies of any third-party services referenced in Section 8 for details.

4. Data Storage and Security

Board Beacon stores data using Supabase, a managed database infrastructure provider, and deploys the application through Netlify. Both providers maintain industry-standard security practices.

We take reasonable technical and organizational measures to protect your information against unauthorized access, loss, or disclosure. These measures include encrypted data transmission (HTTPS), access controls, and regular security reviews.

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

In the event of a data breach that poses a risk to your rights or privacy, we will notify affected users and relevant authorities as required by applicable law.

5. Data Retention

We retain your account information and content for as long as your account is active. If you cancel your subscription, you will retain full access to the Service through the end of your current paid billing period. The 30-day export window begins on the last day of that final paid billing period, not the date your cancellation was submitted. For example, if you cancel in May but your subscription runs through March 1 of the following year, your data remains fully accessible through March 1 and your 30-day export window begins on March 1. After that 30-day window, all of your data will be permanently deleted from our active systems, except as required by applicable law. For full details see Section 8.5 of our Terms of Service.

After account termination, we may retain certain information as required by law or for legitimate business purposes (such as resolving disputes or enforcing agreements). You may request deletion of your data at any time by contacting us at hello@boardbeaconhq.com.

6. Your Rights

Depending on your location, you may have certain rights regarding your personal information, including:

  • The right to access the personal data we hold about you
  • The right to correct inaccurate or incomplete information
  • The right to request deletion of your personal data
  • The right to object to or restrict certain uses of your data
  • The right to data portability

7. Children's Privacy

Board Beacon is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child under 18 has provided us with personal information, we will take steps to delete it promptly.
