How Long Are Board Portal Contracts? (And What to Look for Before You Sign)

If you’re evaluating board portal software, you’ve probably noticed that most vendors don’t advertise their contract terms any more than they advertise their prices. You find out what you’re signing when you’re already deep in the sales process.

Here’s what board portal contracts actually look like, what the typical lengths are, and what terms you should push back on before you sign.

What Most Board Portal Contracts Look Like

The standard board portal contract runs one year, with automatic renewal unless you cancel within a defined notice window. That notice window is typically 30 to 90 days before the renewal date — meaning if your contract renews January 1, you need to cancel by October 1 at the latest.

Longer-term options — two or three years — are usually offered at a discount. The tradeoff is that you’re locked in for the full term, and early termination typically means paying out the remaining balance.

Month-to-month contracts exist but are not the default at most vendors. You usually have to ask, and some vendors don’t offer them at all.

Typical Contract Lengths by Vendor Tier

Enterprise vendors (Diligent, BoardEffect, Nasdaq Boardvantage): Multi-year contracts are standard. Annual at minimum, often two or three years. Implementation fees are charged upfront and are non-refundable regardless of how the relationship goes.

Mid-market vendors (OnBoard, Boardable): Annual contracts are the default. Month-to-month may be available at a higher per-month rate. Expect auto-renewal language and cancellation notice windows of 60 to 90 days.

Small organization / volunteer board tools: Contract terms vary more here. Some offer month-to-month by default. Others still default to annual with auto-renewal. Read carefully regardless of where the vendor falls in this category.

The Auto-Renewal Problem

The most common complaint from boards trying to leave a board portal is missing the cancellation window.

It works like this: your contract renews on a fixed date each year. To cancel, you need to provide written notice 30, 60, or 90 days in advance depending on the contract. If your board meets annually in the fall and decides then that you want to switch, you may have already missed the window. You’re locked in for another year.

This isn’t accidental. Vendors know that volunteer boards are busy, leadership turns over, and the person who signed the original contract may not even be on the board anymore. Long notice windows work in the vendor’s favor.

Before signing any board portal contract, get answers to these in writing:

When does the contract renew? How many days’ notice are required to cancel? What method is required for cancellation — email, certified letter, something else? What happens to your data if you cancel? What a Fair Contract Looks Like

A fair contract is one where the terms make sense regardless of which side you’re on.

Month-to-month pricing is the clearest signal that a vendor is confident in their product. If the software is genuinely useful, customers stay. Vendors who require annual or multi-year contracts with long notice windows are betting that inertia — not satisfaction — will keep you paying.

For volunteer boards specifically, flexibility matters more than it does for large organizations with dedicated IT staff and procurement processes. Board leadership turns over every one to three years. The person who signed the contract may be gone before it renews. A contract that requires a board president to remember to cancel 90 days before renewal is a contract designed to be missed.
